Artwork proofing for Shopify stores

Artwork proofing is the step where you show a customer exactly what you are about to make and get a clear yes before production. For a Shopify store selling personalized products, a proof has to belong to one order line, carry a version number, and be approved by the customer on a page they can open from a phone. The rest of this guide covers what that looks like in practice.

Why proofing software built for packaging teams rarely fits

Most tools sold as artwork proofing or artwork approval software are built for brand, agency and packaging teams. They are organized around projects, internal reviewers and annotation, which suits a label going through legal and marketing. A custom-product shop has a different shape of problem:

  • the reviewer is a customer, not a colleague, and will not create an account;
  • the work is tied to an order and a specific line on it, not to a project;
  • there are many small jobs a day, each with its own file, and a mix-up means remaking an item;
  • the approval has to still be valid when the item is made, even if the order was edited in between.

So the question is less “which proofing tool has the most features” and more “where does the proof live relative to the Shopify order”.

What a good proof contains

  • The artwork as it will be made. Final position, size and colour, not the customer’s file as it arrived.
  • The production details for that line. Quantity, size, material and finish, so the customer approves the item and not only the picture.
  • A version number. Everyone can name the version they mean, and a change creates a new one.
  • Options when there is a real choice. Two layouts or two colourways side by side, chosen in one step instead of two rounds of email.

Artwork proofing on Shopify, step by step

  1. The customer uploads on the product page. The file is attached to the order line when they check out. See how to collect customer artwork on Shopify for what the upload has to get right.
  2. You prepare the proof. Build it in your usual design tool, then publish it to the job for that order line with one to three options.
  3. The customer gets a private link. Send it from the app by email, or copy it and use your own channel. No account is needed, and simply opening the link approves nothing.
  4. They approve an option or ask for changes. Both happen on the proof page, so the answer stays attached to that version.
  5. A change means a new version. Publishing it retires the previous link, so an old approval cannot be used for new work.
  6. Check before you make it. The approved version is compared with the current order and stored files. If the order changed after approval, the work goes back for review.

The reasoning behind each step is in a proof approval workflow for custom orders.

Common proofing mistakes in custom-product shops

  • Proofing the customer’s file instead of the product. The customer approves a logo, then is surprised by its size on the mug.
  • Sending attachments. Each round creates another file with a similar name, and nobody is sure which one was approved.
  • Approval in an email thread. The yes and the order live in different places and are matched from memory.
  • No re-check after an order edit. A quantity or variant changes after approval and production uses the old proof.

Where Upproof fits

Upproof is a Shopify app that keeps the upload, the proof versions and the approval on the order line. It is not a design editor: if your customers build designs on the page, a product customizer is the better tool. If you are comparing apps, the nine questions to ask during a trial apply to any of them.

Questions

What is an artwork proof?

A proof is a picture of the work as it will be made, sent to the customer before production so they can approve it or ask for changes. It shows the artwork in its final position and size, together with the details that production depends on.

Can a customer approve an artwork proof without an account?

With Upproof, yes. The customer opens a private link, sees the proof and its options, and approves one or asks for changes on the same page. Opening the link alone never counts as approval.

How many proof options can I send at once?

Upproof lets you send one to three options in a single proof. Choosing an option is the approval.

Which file types can customers upload for proofing?

PNG, JPEG or PDF, up to 20 MiB per file, with up to 5 files and 50 MiB in one upload set.

Do revisions cost extra?

No. In Upproof a credit is used only when the first proof for an order line is successfully published. Revisions are included.
