Collect customer artwork on Shopify without email

The dependable way to collect customer artwork on Shopify is to let the customer upload it on the product page, so the file is stored against the order line they are buying instead of arriving in an inbox. What matters is less the upload button than what happens after it: the file has to follow the right line, a wrong file has to be caught before production, and someone has to be able to say which version was approved.

Why email is the wrong place for artwork

  • The file and the order live in two systems, so someone matches them by hand.
  • Two lines for the same variant with different designs are easy to swap.
  • The “final” file is the fourth attachment in a thread, and the version everyone agreed on is a matter of memory.
  • Nothing tells you a file is missing until you sit down to make the item.

What Shopify gives you by default

By default, a Shopify product page can pass short text through to the order as a line item property, which is enough for a name or a message. It has no built-in way to accept an image or a PDF from a customer, store it safely and tie it to one order line. That gap is why shops that sell personalized products add an upload app.

What a product-page upload has to get right

  1. It binds the file to the order line, not just the order. An order with two different labels needs two different files, even when both use the same variant.
  2. It states its limits before the customer uploads: accepted formats and file size, so the customer does not learn about them from a rejection.
  3. It accepts the formats you can actually work with. Upproof takes PNG, JPEG or PDF, up to 20 MiB per file, with up to 5 files and 50 MiB per upload set.
  4. It makes a missing file visible. An order that arrives without a design should show up as such in your workspace, with a way to ask the customer for it.
  5. It treats the file as customer data. Ask where files are stored, how long they are kept and how a deletion request is handled. Upproof’s privacy page covers this for Upproof.
  6. It works on the path your customers actually take from product page to cart to checkout, including the buttons that skip the cart.

Setting it up with Upproof

  1. Install Upproof from the Shopify App Store.
  2. Open Apps → Upproof in your Shopify admin and choose Setup.
  3. Add the app’s upload block to the product template used by your personalized products, then save the theme.
  4. Place a complete test order through the standard product → cart → checkout path.
  5. Check that the job appears in Upproof with the file attached to the right order line.

The initial storefront setup supports Online Store 2.0 product pages. Other themes, cart drawers, quick-add and accelerated purchase buttons can bypass the upload and need their own check, so test each path your store offers or hide those paths on personalized products.

When the file is missing

If an order arrives without an accepted design, the job is marked Source needed. Create a customer design-upload link from the job and either have Upproof email it or copy it and send it in your own message. A file uploaded without an order does not create a job.

What comes next

Once the file is attached to the right line, the next question is how the customer signs off on the result. That is the subject of a proof approval workflow for custom orders.

Questions

Can customers upload artwork on Shopify without an app?

Not by default. A standard Shopify product page can carry short text, such as a name to engrave, through to the order as a line item property, but it has no built-in way to accept an image or PDF, store it and tie it to one order line. Shops that sell personalized products usually add an upload app for that.

Which file types can customers upload with Upproof?

PNG, JPEG or PDF, up to 20 MiB per file, with up to 5 files and 50 MiB in one upload set. Separate store storage limits also apply.

What if an order arrives without a design?

The job shows as “Source needed” in the merchant workspace. Open it, create a customer design-upload link, and either have Upproof email it or copy it and send it yourself.
